How to Manage Your Gmail Privacy Settings in 12 Ways

  1. Set up a unique email address: Gmail has an option to create a new, second account with the same settings. This way you can use one for personal use and one for professional purposes without sharing any data between them!
  2. Turn on two-factor authentication: If someone does manage to get into your account, this will make sure that they can’t make any changes.
  3. Use labels: Labels help you organize your emails and keep them all accessible in one place, which is especially helpful for people with a lot of messages! To create labels, click on the “Labels” button at the top of Gmail or go to settings and select “Configure inbox.”
  4. Archive emails: If you want to keep your inbox looking organized but would prefer not to see older messages, archiving them is a great option. This will remove the message from your inbox and archive it into its own folder in case you need to find it later! To archive an email, select “archive” from the drop-down menu in the top right-hand corner of Gmail.
  5. Use a spam filter: If you’re having trouble managing your inbox, an automated email filter may be able to help! You can use filters like “Mark as read” or “Skip the Inbox (Archive It)” to automatically sort messages for easier management. These are found in Settings -> Filters.
  6. Turn on Priority Inbox: This will automatically filter your messages into high, medium, and low priority for you! You can find this option by clicking “Settings” at the top of Gmail or going to settings and selecting “Inbox type.”
  7. Create rules: Setting up a rule can help you automatically sort messages out of your inbox when they meet a certain criteria. This is often used to filter spam or emails that may contain viruses!
  8. Set up email forwarding: Setting up this feature will allow you to send all the messages from one address in Gmail, like info@companyname.com, to another, like companyaddress@companyname.com.
  9. Set up email delegation: This is another way to automatically forward emails from one address to another, but it’s slightly different in that you can also set permissions for people who receive these messages! To learn more about this feature, click “Settings” at the top of Gmail or go to settings and select “Smart Reply.”
  10. Enable POP: Using this feature will allow you to download emails from the server, which is helpful if you’re using a computer that isn’t connected to the internet all of the time! This can be found in Settings -> Forwarding and POP/IMAP.
  11. Manage your chat settings: From conversations with individuals to groups, Google lets you make choices on how chat is handled for each of your accounts. This can be found by clicking “Settings” at the top of Gmail or going to settings and selecting “Chat.”
